Planning Shirts for Houston Events & Pop-Ups

An event shirt order has a deadline, a group of wearers and often more than one role. A useful plan connects those details before artwork or garments are finalized, whether the shirts are for a festival, market booth, club activity or family gathering.

Share an approximate quantity and your needed date. Artwork can be uploaded with your request.

Decide who needs to be recognized

List staff, volunteers, vendors, participants and any other groups separately. Decide whether different colors or artwork should identify roles. A shirt for booth staff may need a business mark that is readable while working; a giveaway shirt may have a different purpose.

Confirm permissions for event, team and sponsor artwork. Collect the approved versions in one place and identify which logo goes in each location. A last-minute sponsor addition can change both layout and production requirements.

Build a roster and an extras plan

Collect quantities by size and color, including youth or extended sizes. Mark each design version clearly. If you want extras for late registrations, list that contingency quantity rather than silently adding it to several groups.

Choose one person to approve the final count and wording. Keep names and numbers in a checked roster if personalization is requested. Use a single current list so old revisions do not get mistaken for the final order.

Work backward from the in-hand date

The event start is not always the collection deadline. Include time for distributing shirts, travel or setting up a booth. Tell the printer when the completed apparel actually needs to be available.

Ask about feasibility before relying on a requested rush date. Garment stock, artwork readiness, quantity and the production schedule determine what can be confirmed. Changing a model or design may require the timing to be reviewed again.

Use an itemized quote

Compare the garment, quantity, size range, included print locations and any individual changes. Standard shirt quantity tiers are useful only when the stated garment and included print match the planned order.

For market sellers, separate merchandise intended for sale from staff apparel if the designs or garment models differ. Keep records of the approved artwork and blank for later reorders, with fresh availability and pricing checks.
